General

All bookings are subject to availability and are not confirmed until official written confirmation has been provided by Best Western Plus Lake Kawana Hotel.

Best Western Plus Lake Kawana Hotel strives to provide a relaxing, enjoyable environment for all our guests. The Hotel reserves the right, at our complete discretion, to cancel a guest booking due to guests being disruptive to the Hotel or others, causing damage or for what is deemed by us as disruptive or inappropriate behaviour. In such an event the guest will be responsible for full payment of the entire original booking plus any incidentals.

Fully Independent Travellers (FIT)

1. FIT BOOKING POLICY:

1.1 Conditions

i. Arrival/departure details must be supplied no later than 7 days prior to arrival (or supplied at the time of booking inside 7 days of travel).

2. FIT PAYMENT POLICY:

2.1 Fit Booking Requests

i. All bookings must be guaranteed at time of booking with a Credit Card. If no credit card is supplied, full payment must be received within 7 days of confirmation.

2.2 Agents Without Credit

i. Full payment is required 30 days prior to arrival.

2.3 Agents With Credit

i. No deposit required.

3. FIT CANCELLATION POLICY:

3.1 No Cancellation Fee Applies

i. If cancellation is made more than 3 days (72 hours) prior to arrival. Cancellations must be received in writing and will become effective as of the date of receipt by BEST WESTERN PLUS Oceanside
Kawana.

iii. Pre-booked transfers must be cancelled at least 3 days (72 hours) prior to arrival, cancellations less than 72 hours are subject to cancellation fees.

3.2 Cancellation Fee Applies

i. If cancellation is made within 3 days of arrival: cancellation of any rooms held incurs a loss of full contracted room rate per room, per night based on original booked dates.

ii. Within 24 hours: full cancellation charge of booked meals and day tours applies

Groups

4. GROUP BOOKING POLICY:

4.1 What Is Considered A Group Booking

i. Bookings of 10 rooms or more, or bookings accompanied by a tour leader irrespective of the number of rooms, are considered group bookings or where names cannot be provided at the time of booking.

ii. All group booking requests must be provided in writing to Best Western Plus Lake Kawana Hotel’s Reservations Department.

4.2 Group Free Of Charge (FOC) Conditions

i. 1 FOC including breakfast for tour escort/ group leader per 15 paying rooms (maximum 2 FOC).

ii. FOC accommodation is run of house (ROH) and subject to change at Best Western Plus Lake Kawana Hotel’s discretion.

4.3 What Is Considered A Conference And / Or Incentive Group?

i. When a group requires meeting room facilities or special dining requirements, it is potentially a Conference and Incentive (C&I) Group and therefore the C&I contract will apply.

ii. All C&I group requests should be made in writing to Best Western Plus Lake Kawana Hotel’s Reservations Department.

4.4 Special Conditions For Booking The Hotel For Exclusive Use

i. When booking request is for more than 85% of total room inventory, the Hotel must be booked exclusively (exclusive use basis).

ii. When the Hotel is booked exclusively, separate terms and conditions apply, these are available at time of request.

5. GROUP PAYMENT POLICY:

5.1 Deposits And Payments

i. Security deposit equal to 10% of the total cost of the group booking is required within 21 days of receipt of confirmation.

ii. Full payment (balance) for accommodation, meals and tours will be requested 31 days prior to arrival. Non receipt of payment will result in rooms being released.

iii. For bookings made 61 days or less prior to arrival, payment in full is required within 2 days (48 hours) of receipt of confirmation (or the arrival date, whichever is earlier). Non receipt of payment
will result in rooms being released.

5.2 Agents With Credit

i. No deposit required

5.3 Method Of Payment Options

i. Credit card payment is not accepted for group bookings – payment must be made via direct deposit or cheque.

6. GROUP CANCELLATION POLICY:

6.1 Group Cancellation Notifications

i. Cancellations must be received in writing to Best Western Plus Lake Kawana Hotel Group Reservations.

6.2 Group Cancellation Fees

i. Cancellations received 31 days or more prior to arrival date do not receive a cancellation fee.

ii. Cancellations received 30 days or less prior to arrival date are non-refundable. This applies to all accommodation, meals, tours and transfers covered by the booking.

7. GROUP STATUS:

7.1 Rooming List Requirements

i. Final rooming list together with meal requirements, arrival and departure details and nationality of guests must be received by Best Western Plus Lake Kawana Hotel Group Reservations no later
than 30 days prior to arrival date.

ii. Should booking be made within 30-14 days prior to arrival, full payment, final rooming list and meal requirements are required within 2 days (48 hours) of receipt of confirmation (or arrival date, whichever is earlier).

8. ADDITIONAL PERSON CONDITIONS:

8.1 Rates are per night and are based on maximum 2 persons per room when using existing bedding. Extra person changes are as follows, children 0-3 years stay free when using existing bedding. Additional charge of $30 applies to any extra person 4 years or older including Extra bed.
